Fee reminders without the awkward conversations
By The ChesSync team · 22 September 2026 · 1 min read
Chasing fees is the part of running an academy almost nobody enjoys. The good news is that most late payments aren't about unwillingness — they're about forgetting. A clear, predictable system fixes most of it.
Make the due date obvious
Every student should have a current fee period with a clear end date. When families can see "14 days remaining" in their app, the due date stops being a surprise.
Use a fixed reminder schedule
Reminders work best when they're predictable and polite. A schedule many academies use:
- 2 days before — a friendly heads-up.
- 1 day before — a short reminder.
- On the due date — "due today".
- 1 and 2 days after — gentle nudges, never threats.
Because the schedule is the same for everyone, nobody feels singled out.
Make paying the easy part
Put payment one tap away: a payment link from your payment provider, your UPI ID and a QR code. Add a short note such as "please mention your child's name in the payment note" to make reconciliation easy.
Families should pay you directly — your academy keeps control of its own money.
Record payments as new periods
When a family pays, record the next period — start date, end date and amount. Reminders then follow the new end date automatically, and there's no "paid" status to forget to update.
Keep the tone warm
Your reminders speak for your academy. Keep them short, factual and kind: the amount, the date, how to pay, and who to contact if they've already paid. Families respond better to clarity than to pressure.
